Scheduled email reporting in 3 simple steps

Great reports are meant to be shared. How to share your dashboard report in 3 simple steps using Klipfolio:

Step 1: Which dashboard shall we share?

Next to your dashboard name, open the menu tab (Three vertical dots) and then select "Share" then "Email dashboard"...

This will open a dialog, which you can use to send one-off emails to any member of your team (even if they aren't an authenticated Klipfolio user). To set up a scheduled email report, click the link provided in the dialog menu.

Step 2: To which users shall you send?

You can set up scheduled email reports to go out to as many users as you'd like. When you select the "To" field, you will be provided with a list of all your users to choose from. You can also provide a brief note providing some context for the dashboard you are sharing, and choose whether you want to send it as a PDF or image file. My preference is to send image files since many email clients will provide a preview of the image for fast consumption. PDFs are better when you have longer reports to send out.

Step 3: When shall we send?

Click on the "Never" link to prompt the scheduling options to appear. You can set the frequency, the specific day, and send time for scheduled email reports. I want to send my report out on the 2nd day of each month at 8:00am EST (so it's one the first emails they will see when they arrive to work in the morning). Here are the options I've selected:

Reporting vs Dashboarding

There are a lot of terminologies in the industry that can cause confusion.

Our simple definition of reporting and dashboarding can be simplified around timing.

Reports tend to be snapshots of data at a scheduled time. Most often we see our users take a snapshot of a dashboard and publish it as a report daily thru emails, and weekly or monthly as PDF’s that are then used within their way of business for perioditc reviews and discussions.

For example, weekly sales reports to discuss how key metrics are tracking.

Dashboards tend to be at a glance, real-time reports. Most often we see our users tracking real-time key performance indicators (KPIs) using their mobile device or on TV’s. Dashboards are really about checking in on the latest results so that you are able to keep on top of things that truly matter to your business as they happen.

For example, a customer support TV dashboard to display how well the team is tracking the number of service calls that are happening today.

So now you know the difference between reports and dashboards. Did you pick up that I called reports dashboards and dashboards reports! :) I did that on purpose to show you that don’t get hung up on the words and just get what you need from Klipfolio as we do both!

KPI Reporting vs Metrics Reporting

Ok one more quick definition clarification!

The easiest way to distinguish between the two is KPI's (Key Performance Indicators) are usually the most important business measures you want to track.

Think of them as company wide performance objectives with measures you want everyone to be aware of that will drive the results you want.

Whereas metrics are the leading and lagging indicators that have a measurable impact on those KPIs.

For example, sales revenue is a KPI and key metrics that you should track to ensure you hit your sales revenue could be number of sales calls, win ratio's, pipeline, and number of opportunities that will close this qtr.
